These templates form the backbone of your professional customer interaction. Once configured, RepairCMS inserts real job data into these messages for invoices, job confirmations, and status updates sent through the Customer Tracking Portal.

Step-by-step guide: Customize Email Templates #

  1. Click “Settings” to access your configuration options.
  2. Select “Templates” to view your available email and message templates.
  3. Click “Quotation Email Template” to open the template management view.
  4. Select “New Job Email Template” from the dropdown list to begin your customization.
  5. Edit the “Subject” field to ensure your customers immediately recognize the importance of the notification.
  6. Modify the content in the “HTML-Email Content Editor” to personalize your message.
  7. Click the “Variable” menu to browse and insert dynamic fields like customer names or tracking links.
  8. Choose the “{job_track}” variable from the list so your customers have direct access to their repair status.
  9. Click “Send Test Email” to preview your changes in your inbox before saving.
  10. Click “Save” to apply your template updates. A confirmation message confirms that your new settings are active.

💡 Test your template changes: Always use the “Send Test Email” function to check how your dynamic variables render in a real email client. This is helpful when you are adjusting layouts for complex notifications like repair reports or invoice summaries.
